No email needed. Both open in Word, Excel, Google Docs or Google Sheets. The Excel version works out line totals, the discount, tax and the total for you.
What to include in an invoice for cleaning services
- Your business info. Business name, address, phone, email and website. Add your logo if you have one.
- Invoice number. Every invoice gets a unique number, in order (1001, 1002, 1003). It's how you and the client refer to it, and how you spot a missing payment.
- Dates. The invoice date, the service date, and the due date.
- Client details. Name, service address, phone and email. For a business client, add the contact person and any purchase order number they gave you.
- Line items. One line per service and one line per add-on. Name the service type and the home size, like "Deep clean, up to 1,500 sq ft". Never bill hours: you priced a flat job, so invoice a flat job.
- Discounts. A recurring discount, a referral credit or a discount code, on its own line so the client sees it.
- Sales tax, if it applies. See the section on tax below.
- Total due. Large and easy to find.
- Payment terms. When it's due and what happens if it's late.
- How to pay. A card payment link, the transfer apps you accept, and who to make checks payable to.
Cleaning invoice example
Here's a filled-in example for a new client's first visit: a deep clean on a 1,500 sq ft home, with two add-ons. The prices come from the square-footage table in our free Road to 10K guide and the post on how much to charge for house cleaning.

Example with a recurring discount
After the deep clean, the same client moves to a clean every other week. Recurring cleans get a discount (every 4 weeks 5%, every other week 15%, weekly 20%), and it goes on its own line:

Showing the discount instead of just lowering the price reminds the client what they save by staying on the plan.
How to fill in the line items
Your invoice should match your quote exactly. If you price per job by square footage and service type, the line items write themselves:
- The main service with the home size: deep clean, standard clean, move in/out or post-construction.
- Each add-on on its own line, at your add-on price. Using the guide's prices:

For per-unit add-ons, use the quantity column: 12 interior windows at $6 is a $72 line. Never bill below your minimum for the service ($200 deep, $150 standard, $120 weekly standard, $250 move in/out, $400 post-construction), even for a small home. Not sure what a home should cost? Sales tax on cleaning invoices
Whether cleaning services are taxable depends on your state, and sometimes on whether the job is residential or commercial. Some states tax cleaning services and many don't, and the rules change. Check your state's department of revenue website, or ask a tax professional, before your first invoice. If you do charge tax, show it as its own line on the invoice, calculated after any discount. The Excel template does this for you: set the tax rate to your state's rate, or leave it at 0%.

Payment terms that get you paid
- Residential: due on receipt. Send the invoice the same day as the clean, while the client can still see the result. Waiting a week makes payment a chore for them.
- Commercial: agree terms before the first clean. Offices and property managers often pay on terms like 15 or 30 days. Put the terms in the contract, and put the same terms on every invoice.
- Late fees only if you agreed them in advance. State them in your service agreement and on the invoice. Rules on late fees vary by state, so check yours before you charge one.
- Make paying easy. A card link gets paid faster than "mail a check". Put every way to pay on the invoice.
- Follow up on a schedule. A friendly reminder the day after it's due, another a week later. Most late payments are forgotten, not refused.
- Don't book the next clean while one is unpaid. Say so politely, and say it once.
House cleaning invoice template vs commercial
The same template works for both. For house cleaning, keep it short: service, size, add-ons, total. For commercial cleaning, clients usually want a service period ("Office cleaning, October 1–31, 3 visits a week"), the contract or PO number, and longer payment terms.
